Understanding Your Financial Aid Offer Letter
What Your Offer Includes
Your offer may combine several types of aid:
- Grants and scholarships — money you don’t repay
- Federal loans — money you repay after you leave school, usually at lower interest than private lenders
- Federal Work-Study — the maximum you can earn through an eligible campus job during the year
Work-Study Program
Work-study isn’t subtracted from your bill. It’s a maximum you can earn, paid to you every two weeks based on hours worked. You can arrange to have some of your earnings applied to your account — ask your financial planner.
8 Things to Know About Your Aid
1. Your offer replaces any earlier estimates.
- If you received an estimate before this, your official offer is the one that counts.
2. Send documents when we ask for them.
- Sometimes we need a document to finalize your aid — a tax return, a verification worksheet. Send it as soon as you can, since your aid can’t be finalized until we have it. If something is hard to get, tell your financial planner. We’d rather help you find a workaround than have your aid delayed.
3. Submit your final transcript
- Federal and institutional aid requires your official final high school transcript showing your graduation date, or your GED certificate. Send it as soon as it’s available.
4. Let us know about outside aid.
- Won a scholarship from a local business, church or civic group? Took a private loan? Tell Student Financial Services. Outside aid can change your offer, and we’d rather adjust it early than surprise you later.
5. Keep up your academic progress.
- Financial aid requires satisfactory academic progress under the standards in the university catalog. If you’re struggling, reach out early — there’s support available and options if your aid is affected. Review satisfactory academic progress standards.
6. Your enrollment level affects your aid.
- Most federal and institutional aid requires at least half-time enrollment.
- Full-time undergraduate: 12 or more credit semester hours
- Full-time graduate: 9 or more credit semester hours
- Half-time: 6 credit semester hours
- Dropping below full-time, or enrolling for less than a full academic year, reduces your aid. Talk to your financial planner before you change your schedule so you know what to expect. You may still qualify for a Federal Pell Grant below half-time.
7. Federal loan defaults affect eligibility.
- Students in default on a federal loan or who owe money on a federal grant aren’t eligible for new federal aid. If that’s your situation, contact your financial planner — there are ways to resolve it.
8. Your FAFSA needs to be accurate.
- You’re confirming the information on your FAFSA is true and complete, and that you can provide proof if we ask. If something changed after you filed, or you think you made a mistake, let us know so we can correct it.
What can change your offer
Your offer reflects the information we have when it’s created. Circumstances change, and when they do, we review your file and may update your offer. Here’s what can prompt that.
- Your income or family circumstances change. Job loss, a death in the family or another major change — contact Student Financial Services directly. Don’t wait.
- You receive outside aid you hadn’t reported.
- Your enrollment changes.
- Federal or state funding falls short. Offers assume a level of federal and state appropriation that often isn’t final when offers go out. If Congress or a state legislature doesn’t appropriate as expected, offers may be reduced or cancelled. We’ll notify you promptly if that happens.
- You’re a transfer student and your credits get evaluated. Transfer students are initially offered first-year Federal Direct Loan limits because grade level isn’t known yet. Once your transcript evaluation is complete, contact Student Financial Services — you may qualify for more.
- You’re offered a state grant. You may need to verify state residency.

Responsibilities & Offer Conditions | 2026-27 Academic Year
- This official notice of financial assistance supersedes all estimates and/or offers previously received.
- Failure to respond to requests for additional information or supporting documentation (i.e., parent’s tax return(s), verification worksheet(s), etc.) will result in a cancellation of this financial offer. Any changes to information originally submitted/received by the university may result in a change to this offer.
- To receive federal and/or institutional aid, an official final high school transcript with date of graduation or GED official high school equivalency certificate must be submitted to the Office of Admissions and/or Student Academic Services. Eligibility for aid is determined based on the family/student’s financial need as indicated on the Free Application for Federal Student Aid (FAFSA). If there are any substantial changes to the family/student’s income (e.g., change in income, unemployment, etc.) the student must contact Student Financial Services directly.
- Each student must inform Student Financial Services of any other financial assistance received in addition to the offers listed on this form (i.e., outside scholarships, loans, etc.). The student’s offer is subject to change because of additional financial assistance received as reviewed and determined by Student Financial Services.
- Eligibility for federal and institutional aid programs are dependent upon student enrollment of at least half-time. Students who enroll for less than a full academic year will have their financial aid, including institutional funds, reduced. Students should understand that if they drop below full-time status, their financial aid including institutional funds, will be adjusted accordingly. Full-time status is defined as enrolling in a minimum of 12 credit semester hours (9 credit semester hours for Graduate students). If the student enrolls in less than 12 credit semester hours (9 credit semester hours for Graduate students), student’s financial offer is subject to change. Students may still qualify for assistance through the Federal Pell Grant if their enrollment status falls below half-time (less than 6 credit semester hours). In addition, to be eligible to receive financial aid, all students must maintain satisfactory academic progress according to the standards of the university as is stated in the University Catalog and Student Handbook. Students should also understand that financial aid is granted for one academic year (August-May) and students must reapply for aid on an annual basis beginning October 1st.
- The amount indicated for Federal Work Study (if applicable) represents the maximum gross amount that a student is allowed to earn during a given academic year. This amount indicated will not be deducted from the student’s overall balance on their invoice. Students granted work study will be paid based on number of hours worked and on a bi-weekly basis. Students may arrange to have a portion of their work study earnings to be applied to their account by consulting Student Financial Services. Federal and institutional aid (i.e., Federal Pell Grant, Federal SEOG Grant, Johnson & Wales Grant, etc.) are applied each semester to a student’s account for the amount listed on the reverse side of this notice once a given semester has begun and all required paperwork is received, reviewed, and eligibility to receive such offer(s) is confirmed by Student Financial Services. Federal regulations require that a student must not be in default of a federal loan and/or not owe monies on a federal student grant. When a student signs the Statement of Educational Purpose, she/he states they are not in violation of above provisions. Any student in default on a federal loan and/or grant is not eligible for any Federal financial aid. Please consult Student Financial Services for more information. This offer of federal aid assistance assumes a level of federal and state appropriations, which is often, not officially determined at the time offers are rendered. If Congress or state legislature fail to appropriate funds as anticipated, offers from the university may be reduced and/or cancelled. Students will be notified in a timely manner if changes do occur. This offer is based on current financial information and subsequent changes based on review of the FAFSA or supporting documents, may result in an offer change.
- To effectively administer limited financial aid funds, Johnson & Wales University has adopted an institutional policy whereby the total of all university funded monies offered to a single student may not exceed a specified dollar amount during an academic year. This dollar amount is determined prior to each given year’s financial aid awarding process. Transfer students attending the institution are offered first-year Federal Direct Loan limits as the student’s grade level is generally unknown at time of their initial offer. Transfer students may qualify for a greater direct loan amount if the determined grade level is beyond the first-year. Please contact Student Financial Services once transcript evaluation is complete for Direct loan review.
- If the student is offered state grant funds, the student may be required to verify their state residency to receive such funds. Failure to timely respond could cause loss of state funds.
- The student agrees that the information on their FAFSA is true and complete to the best of their knowledge. The student agrees to provide proof of the information reported on the FAFSA if supporting documentation is requested/required to confirm a student’s offer. The student realizes and accepts that if they do not provide such requested/required documentation by a given date as determined by the university, they forfeit receipt of Federal financial assistance. Johnson & Wales University admits students of any race, religion, color, creed, national or ethnic origin, age, sex, sexual orientation, and/or gender identity or expression.
